We are seeking a process driven, analytically minded individual to join Novavax as a Talent Acquisition Operations Manager. This is a new role that will support the Talent Acquisition Team by developing the necessary processes, tools and infrastructure to improve both internal operations and the candidate experience. We are looking for someone who has prior experience building out existing processes and improving existing ones and enjoys working with various stakeholders across the Human Resources team and outside of it.

Responsibilities include but are not limited to:

  • Work within TA team and other HR stakeholders to understand challenges and develop solutions. Pro-actively identify and recommend opportunities for improvement.
  • Own, maintain and buildout talent acquisition module in ATS, UKG Pro. Own and maintain the system to gain most efficiencies possible for internal user and candidate experience. Train on system to support the recruitment process.
  • Work with and audit recruiting data to ensure data integrity.
  • Track and provide regular reports and feedback on recruiting costs, open positions, time to hire.
  • Review existing processes and create supporting documentation for recruitment work flow.
  • Proactively maintain and manage agency relationships, including RFP process. Track and communicate key metrics for agencies. Manage the annual performance reviews.
  • Work with vendors to enhance prescreening and background check process.
  • Share best practices and ensure services are delivered on a consistent basis.
  • Troubleshoot issues that impact team from delivering on work.
  • Maintain and build strong realtionships with all stakeholders across the organization.
  • Ensure processes are compliant with all HR policies, guidelines and procedures.
  • Collaborates with Communications department to enhance career site and web pages.

Minimum requirements:

  • Bachelors Degree with minimum 5-10 years of experience in Talent Acquisition with strong background in HR operations.
  • Experience working with UltiPro or UKG Pro.
  • Experience managing and influencing vendor relationships.
  • Previous oversight or participation in projects that impact Talent Acquisition.
  • Very strong verbal and written communication skills. Experience building strong relationships with stakeholders.
  • Self-directed, detail oriented problem solver who can work within ambiguity.
  • Strong analytical skills and proven experience developing and refining recruiting related reporting and analytics.
  • Prior experience recruiting in a fast paced, growth oriented company.
  • Proficient with Microsoft Excel.

Preferred qualifications:

  • Experience with developing and managing RFP process.
  • Previous experience working in biotechnology/pharmaceutical industry.
  • Project management experience.
  • HR certifications.
